Does Your Business Have a Cold Weather Plan? (Part 2)

11/19/2019 (Permalink)

Snow and ice are piled up on a commercial building If a storm or deep freeze is on the way, having a cold weather plan will help you avoid damage to your commercial property.

Part 1 of this article walked you through developing your winter weather plan to protect your commercial property up to the point when the temperature drops and a storm is pending.

Now, it’s time to detail how you and your employees will address the challenges of a deep freeze, a loss of power or water damage from a burst pipe, ice dam or other cold weather water disaster.

When a winter storm and/or deep freeze is predicted

  • Monitor weather reports for information to gauge the chances of power outages or potential damage.
  • Monitor temperatures in areas of your facility that are susceptible to freezing or significant temperature fluctuations.
  • Prepare for action with sufficient staff and resources. If needed, activate your emergency response team.
  • Prepare for a possible power outage.
  • Clear snow from outside sprinkler control valves and hydrants to keep them accessible.
  • Remove ice dams.

After the storm

  • Walk through and around your facility and property to evaluate any damage.
  • If power was lost, execute your plan to bring electrical loads back on line to prevent power surges that could damage equipment.
  • Monitor snow loads of roofs, especially in areas subject to drifts, and remove snow as needed.
  • Hire a disaster recovery company, like SERVPRO of West Hartford, that can handle winter weather-related damage quickly and completely.

As with most other forces that could threaten the livelihood of your business, winter weather hazards can be made more manageable with preparation and planning. The time you spend before the cold season to handle the challenges posed by snow, ice and freezing temperatures will pay off when a winter disaster threatens your business.

Does Your Business Have a Cold Weather Plan? (Part 1)

11/19/2019 (Permalink)

Snow lies on the roof of a large commercial facility A cold weather plan will help prevent winter storms and freezing temps from damaging your building and interrupting your business operation.

Cold weather poses extreme risks to your commercial property: power outages, roof damage, burst pipes and other water damage. Survive and recover from winter weather damage by making a cold weather plan for your facility and equipment. (The plan will also help your business respond to and manage any emergency event.)

Create the Plan

Develop a written plan to include actions to take:

  • Before the onset of winter
  • When a winter storm is imminent and/or damaging cold temperatures are expected
  • After a winter storm and/or prolonged cold weather

Start by considering some “what ifs,” such as:

  • What if you lose heat?
  • What if the facility is closed (weather, holidays, etc.) and extreme weather is expected?
  • What if a fire protection sprinkler pipe (or other pipe) freezes and bursts?
  • What if there are facility areas that could be susceptible to freezing?

Don’t forget to consider who will do what tasks.

  • Assign roles and responsibilities for all tasks.
  • Plan for initial and annual training.
  • Include an annual review and evaluation of the plan.

Before Winter Begins

Inspect the building

Develop a checklist to ensure:

  • Openings around exterior walls such as windows, doors, or other openings are sealed
  • Equipment penthouses are protected from cold air infiltration
  • Louvers are closed or sealed
  • Dampers on ducts leading to the outside are closed (if possible)
  • Attics and other areas susceptible to the cold are properly insulated
  • Air flow is adequate to maintain heat in all areas of the building (at least 40ºF)

Pay special attention to your building’s roof and make repairs now if needed. Check to be sure that:

  • Drains, drain pipes and gutters are free of debris
  • Roof cover is free of cracks or blisters
  • Decking is free of rust or other signs of deterioration
  • Flashing is secured
  • There are no cracked or bent roof supports (beams, columns, joists)

Check utilities and process equipment

  • Check and repair heating systems
  • Inspect process, water, condensate and steam lines subject to freezing for proper insulation or heat tracing
  • Drain, blow out or flush lines for seasonal or idle equipment
  • Check alternate fuel supplies for operation and sufficient supply

Identify and align resources

The time to line up needed resources is before the winter season starts. You may need human and other resources, such as:

  • Emergency generator
  • Fuel supplies for fire protection equipment, processes or on-site generators
  • Snow removal services to ensure access to the property
  • Contractor to remove snow and ice from the roof
  • Disaster recovery and remediation company, like SERVPRO of West Hartford

Is Your Small Business Ready for a Natural Disaster? (Part 2)

11/12/2019 (Permalink)

A parking lot is filled with debris from a wind storm Having and executing a plan to survive and thrive after a natural disaster can keep your small business going when others fail.

If you’re not prepared, natural disasters—like storms, floods, earthquakes or wildfires—can cripple your small business. But with preparation and planning, you can return to normal operations sooner rather than later.

If you have followed steps 1–3 in Part 1 of this series, you’ll be ready to create a series of plans to follow when disaster strikes so that you and your employees survive the disaster, communicate effectively to your customers, retain your data and minimize costly downtime.

4. Create Your Emergency Response Plan

If a natural disaster strikes, your emergency response plan will help you spring into action without delay. In this plan, you’ll detail how you will protect employees and customers during the disaster, how to evacuate and where you will rendezvous. Decide how you will manage business operations and communications in the immediate aftermath of the disaster. Identify trusted outside resources, like SERVPRO of West Hartford, that can help you quickly and thoroughly repair damage to your building and property.

Once you have a plan, communicate it to your employees and practice it.

5. Know How You Will Communicate

Create a crisis communications plan for how you will stay in contact with employees and customers. Select a spokesperson (and a backup) for each group. You may want to draft boilerplate messages ahead of time to speed up the process after a natural disaster, when every minute counts.

6. Protect Your Data

It’s wise to back up your data—financial information and other essentials such as customer records —regularly. Using two methods—internally on a physical drive and externally in the cloud—offers the best protection against data loss.

(Consider adding data compromise coverage to your business insurance policy. This can help you with the financial or legal burden if information is lost, stolen or accidentally released.)

7. Plan for a Return to Normal Operations

Write a continuity plan to detail how your business will continue to operate after a natural disaster. Consider how you’ll recover lost data, communicate with customers and suppliers and fulfill your orders and service contracts.

You should have sufficient insurance coverage in place before a natural disaster. Business property insurance may help protect your company from substantial losses, while business interruption coverage may help reimburse you if you’re temporarily unable to operate your business.

Is Your Small Business Ready for a Natural Disaster? (Part 1)

11/12/2019 (Permalink)

An office building is surrounded by flood water Protect your small business by having a plan to survive and thrive after a natural disaster, such as a flood, fire, earthquake or storm.

All the hard work you’ve put into building your business could be at risk if a natural disaster—flood, windstorm, fire or blizzard—damages your property, endangers your employees and forces your business to close for days or weeks.

Making a plan for your small business to survive a disaster will take time, thought and effort—but it will be well worth it. Start your emergency response planning by evaluating the potential for damage.

1. Evaluate the Risks

Which natural disasters are most likely to hit your area: tornadoes, hurricanes, wildfires, earthquakes, floods? What’s the greatest risk? Identify the most imminent weather threat and start planning for that, then work your way down the list.

2. Do Your Research

Visit reputable sources such as Ready.gov , FEMA and the American Red Cross. For example, the Red Cross’s Ready Rating program offers free online disaster preparedness planning. (Also good to know: your local Red Cross chapter may provide free CPR and first-aid training for small businesses.)

3. Consider the Potential Damage

Start with a business impact analysis (BIA) to help you develop plans for emergency response, crisis communications and business continuity. Taking into account your existing customer communication, inventory management and record-keeping practices, you’ll explore the potential effect a disaster could have on your business, such as increased expenses from repairs or lost or delayed sales and income.

Read More: Developing the Disaster Recovery Plan

Once you have finished this research and analysis process, you are prepared to develop a specific set of plans to put into place if a natural disaster hits your business. Read Part 2 of this series for tips on creating and implementing these essential plans that cover these areas:

  • Emergency response
  • Communications
  • Data management
  • Business continuity
